Job Vacancy: Office Assistant

The position Office Assistant is available from January 2025, with a start date as soon as possible, on a part-time basis (30h/week).

Key Responsibilities:

  • Perform daily office tasks (e.g., printing materials, reviewing and scanning documents, working with Microsoft Office Suite).
  • Liaise with vendors and service providers for office-related matters, including office landlords, maintenance and IT support
  • Manage office supplies and ensure inventory is fully stocked, ordering supplies as needed.
  • Assist with checking project accounting documents and reports from partners.
  • Collaborate with HR and Financial Managers to:
  • Ensure compliance with current Czech laws regarding HR and taxation.
  • Prepare and review contracts and HR-related documentation.
  • Provide basic translation support for legal and administrative documents (Czech-English, English-Czech).
  • Handle logistics such as venue bookings, catering, invitations, participant and guests coordination
  • Coordinate travel arrangements and accommodations, primarily assisting the project director and project managers.
  • Support the planning and execution of foundation events, including partner meetings.
  • Provide on-site support during events, ensuring all runs smoothly
  • Take on additional duties as required.

Qualifications:

  • Completed high school education
  • Experience in office management, administration, or a similar role is required.
  • Excellent organizational, communication, and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Knowledge or experience in HR and accounting, especially related to Czech regulations, is a strong advantage.
  • Ability to manage multiple tasks, prioritize effectively, and meet deadlines under pressure.
  • Experience working in a non-profit or foundation setting is an advantage.

Desired Skills:

  • Strong attention to detail and problem-solving abilities.
  • Ability to work independently and as part of a team.
  • Familiarity with office equipment and basic IT troubleshooting.
  • Excellent command of Czech and English; knowledge of German is an advantage.
